MailAI

Delete your account and data

You can delete your MailAI account and the data stored with it at any time — from inside the app, or from this page if you cannot sign in. Once you confirm, it is deleted from our live database immediately, and this cannot be undone. A few records are kept, and some copies expire on their own; both are listed below.

Delete without signing in

Delete it yourself, in the app

  1. Open MailAI and sign in.
  2. Go to Settings.
  3. Open the Account section.
  4. Tap Delete Account.
  5. Confirm with your password.

Your data is deleted from our live database immediately. Every device you were signed in on loses access, and any active mailbox connections stop right away.

If you cannot sign in

Enter the email address of your MailAI account. We email that address a link; open it and press Delete my account permanently. The account is then deleted at once, exactly as in the app, and we email you a confirmation. The link works once and expires after 60 minutes; nothing is deleted until you press the button.

Or email mailaisupport@gmail.com from the email address on your MailAI account, with the subject “Account deletion request”. We verify that the request comes from the account owner, complete it within 30 days, and confirm by email when it is done.

What gets deleted

Deleting your account removes from our live database:

  • Your MailAI login and profile.
  • Your stored mailbox connections and saved mail credentials.
  • MailAI’s synced copy of your emails, including message bodies and attachments.
  • All AI drafts, scheduled sends, and saved learning examples.
  • Order-change alerts, AI conversation summaries, reply templates, and your usage history.
  • Your store settings, reply policies, and knowledge documents.
  • Your Shopify connection details held by MailAI.
  • Subscription details for plans bought through the App Store or Google Play.

These records are removed outright rather than hidden or marked inactive. Our host's encrypted database backups still hold them for up to 7 days, until those backups expire; we use the backups only to recover from a database failure.

What we keep

  • Shopify billing records. If you paid through Shopify, the billing record (your plan, its status and dates, and your store’s myshopify.com address) is kept for seven years after the subscription ends, for tax and accounting. After that, the store address on the record is replaced by a one-way hash. See the Privacy Policy, Section 9.
  • Copies that expire on their own. These are not deleted with the account: database backups (up to 7 days), server logs (up to 30 days), crash reports (up to 90 days, plus up to 90 days in our crash-report provider's backups), content our AI provider received (deleted within 30 days unless it is flagged for a usage-policy violation or the law requires it), and notifications not yet delivered to a device that is offline (up to 4 weeks). The app's data on your phone or tablet is removed when the app signs out. See the Privacy Policy, "Retention at a glance" and Section 11.
  • A record of the deletion. When an account is deleted from the emailed link, or by us at your request, we keep the dates it was requested and completed and a keyed one-way hash of the account’s email address for two years, as proof that the request was carried out. The hash cannot be turned back into your address. A link that is never used expires after 60 minutes and its record is removed by a daily clean-up.

What is not affected

  • Your actual mailbox. MailAI holds a working copy of mail that continues to live on your own mail server. Deleting your MailAI account removes our copy, not your real email.
  • Your Shopify store. MailAI only has read access to your store’s records. Nothing in your store is changed or deleted, and MailAI stays installed in your Shopify admin until you uninstall it there.

Two things to do separately

  • Cancel your subscription first. Deleting your MailAI account does not cancel a paid subscription, because billing is managed by the app store or by Shopify. Cancel it in Google Play → Subscriptions or Apple ID → Subscriptions; if you pay through Shopify, uninstall MailAI in your Shopify admin (Settings → Apps and sales channels), which ends the Shopify subscription. Otherwise you may continue to be charged.
  • Revoke app access at your provider. If you connected Gmail, Outlook, or Shopify, you can also remove MailAI’s access in that provider’s own security or apps settings.

Want a copy of your data first?

We can send you a copy of your data before you delete your account. Deletion cannot be undone, so ask first if you may want your records later. Contact mailaisupport@gmail.com and we will send you a copy within 30 days (what it contains: Privacy Policy, Section 11).
